Introduction Our company is the data controller responsible for processing personal data within our core systems for marketing, booking, and billing. We are also the data controller for our websites, your account on our booking site, as intermediaries between customers and suppliers, and for our marketing and sending emails to our customers and contacts.

When you order a product from a supplier, we, as operators of the booking program, will need to process the personal data you provided at booking so that the supplier can receive the necessary information to deliver the product. Our booking program is owned by Data Nova, which will also have access to process personal data if there is a need for technical support.

Information Flow Explained: Customer (you place an order) → VisitRjukan (receives the order and automatically forwards necessary selective information to various parties) → Data Nova (owns and operates the system in which bookings are stored) → DIBS (payment intermediary) → Supplier (product owner). All parties receiving and processing personal information in the booking process are bound by confidentiality and are not permitted to disclose information to others unless necessary to operate the company.

Processing of Personal Data Related to Booking and Stay In connection with bookings made by you or on your behalf, we process the personal data necessary to fulfill the agreement for booking and purchasing services. These are details you have provided us directly. For example, we process information about your identity, contact details, and payment information. Additionally, we process other information you may have provided that is relevant to your stay with us. We will process this information as long as necessary to fulfill the booking agreement with you, and as long as applicable laws or regulatory mandates require us to do so. You can request access to or deletion of your information at any time by contacting us directly via email or phone.

Processing of Personal Data in Your User Account (Web Profile) The information you provide will be stored along with booking data and purchase history. The basis for our use of the information is to fulfill agreements with you.

Processing of Personal Data for Marketing Purposes You may withdraw any consents you have given us at any time.

It is possible to subscribe to email newsletters from VisitRjukan (Mailmojo is our newsletter provider). Subscription is voluntary and means you will regularly receive emails within the topics you have chosen to subscribe to. To facilitate these mailings, registration with an email address and contact information is necessary. These details are stored in our CRM and email system. You can withdraw your consent for email dispatch at any time. VisitRjukan will then delete your contact information from the mailing list for that newsletter.

Processing of Personal Data for Development, Troubleshooting, and Security We will process data, including personal data, to troubleshoot and correct errors, improve our services and the technology we use, and to analyze usage and user behavior. Furthermore, we will process personal data to verify your identity, including verifying identity in connection with your use of our digital services.

We anonymize data or compile statistics as far as possible, but will also need to process personal data for development, troubleshooting, statistical, and security purposes.

In our agreement with Data Nova, they have undertaken the responsibility for technical security around our booking program. They ensure that personal data is not misplaced through unauthorized or illegal processing, data loss due to accidents or illegal activity, deletion, alteration, or unauthorized access and dissemination.

Other Processing of Personal Data If you contact us with inquiries in any way, we will process the personal data you provide as necessary to respond to your inquiry. The basis for this is legitimate interests or to fulfill agreements with you or respond to your inquiries. Beyond processing described in our privacy statement or based on your consent, we may in some cases need or be able to process personal data when applicable law, including personal data laws and GDPR, valid regulatory mandates, or court orders require or permit us to do so.

When a Customer Wishes to Delete Data About Themselves or Gain Knowledge of Personal Data You (the customer) must send an email to info@visitrjukan.com with sufficient information to identify you and specify what you desire (information only or if you also wish to delete data).
